Port of Leith Housing Association (PoLHA) in Scotland has signed a deal to help take its paperless office strategy forward. Neil Donald, ICT Manager at PoLHA, said the move would lead to the adoption of Invu’s software for electronic placement of over 50,000 paper documents. “Some of these documents had accumulated over nearly four decades. The software deployment would replace the manual process of filing and storing of paper-based documents affiliated to the association’s 2,650 properties, with instant electronic access to critical documents,” Donald said. The ICT Manager added that it was imperative for PoLHA to find a system that would enable staff to have greater control and search to retrieve documents swiftly. “Thanks to the structure within the Invu Document Management system, the increased control allows us to assign an owner or task to a document – all recorded with a full audit trail. This was one of the key drivers for the project,” Donald said. Furthermore, in the process of deploying the software, PoLHA will be seeking to minimise as far as possible the requirement for significant amounts of storage space, currently amounting to 30 metres of shelving and eight filing cabinets full of paper documents.
